B-OOK Terms of Service

Last Updated: 23-Oct-26

B-OOK is an online booking system made by SolwAI and used by sports clubs, venues and organisations (“venues”) to take bookings for pitches, rooms and other facilities. These terms cover your use of the B-OOK software. Your booking itself is with the venue, under the venue’s own booking terms, which you accept when you book.

1. About these terms

1.1 These terms are between you and SolwAI (“SolwAI”, “we”, “us”), Queen of the South Arena, Dumfries DG1 1PL, Scotland. They apply when you use a B-OOK booking site, create a B-OOK account, or visit solwai.co.uk/b-ook.

1.2 By using B-OOK you agree to these terms. If you don’t agree, please don’t use it.

1.3 If you are a consumer, nothing in these terms affects your legal rights under the Consumer Rights Act 2015.

1.4 Venues that use B-OOK have a separate service agreement with SolwAI. These terms don’t change that agreement.

2. Bookings are with the venue

2.1 When you book through a B-OOK site, your contract for the booking – prices, payment, cancellations, refunds and use of the facilities – is with the venue, under the venue’s booking terms shown when you book.

2.2 SolwAI provides the software the venue uses. We are not responsible for the venue’s facilities, prices, decisions to approve or decline bookings, or refunds. Questions about a booking should go to the venue first.

2.3 Payments are made to the venue through its payment provider. SolwAI does not take or hold your money.

3. Your account

3.1 You need an account to book. Your account is with the venue’s booking site; if you book with more than one venue that uses B-OOK, you will have a separate account for each.

3.2 You must be 18 or over, give accurate details and keep your password private. Tell the venue promptly if you think someone else has used your account.

3.3 Sign in with Google. You can choose to sign in with your Google account instead of a password. B-OOK then receives only your name, email address and Google account ID, used as described in our Privacy Policy. Your use of your Google account is also subject to Google’s own terms. You can remove B-OOK’s access at any time in your Google Account settings.

3.4 You can download your data or delete your account at any time from the My data page of the booking site.

4. Using B-OOK properly

You must not:

A venue or SolwAI may suspend access that breaks these rules.

5. The booking assistant

5.1 Some B-OOK sites offer an optional AI chat assistant that can check availability and help you book, move and cancel your own bookings. It is powered by Anthropic’s Claude model.

5.2 The assistant can make mistakes. Nothing is booked, moved or cancelled until you press confirm, and you should check the details first. Your booking confirmation email is the record of your booking.

5.3 The assistant never takes payments or card details.

6. Availability and changes

6.1 We provide B-OOK with reasonable care and skill and aim to keep it available at all times, but it may occasionally be unavailable for maintenance or reasons outside our control. You can always contact the venue directly to book.

6.2 We improve B-OOK over time and may change or remove features. We will not change it in a way that affects bookings you have already made.

7. Our intellectual property

B-OOK, including its software, design and the B-OOK and SolwAI names and logos, belongs to SolwAI. Venue names, logos and content belong to the venues. You may use B-OOK only to make and manage bookings.

8. Our responsibility to you

8.1 If we fail to use reasonable care and skill in providing B-OOK, we are responsible for loss or damage you suffer that is a foreseeable result. We are not responsible for loss that was not foreseeable.

8.2 B-OOK is free for you to use; any charges you pay are the venue’s booking charges. If you use B-OOK for business purposes, we are not responsible for loss of profit, business or opportunity.

8.3 Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.

9. Ending your use

9.1 You can stop using B-OOK and delete your account at any time.

9.2 Access to a venue’s booking site ends if the venue stops using B-OOK. The venue will tell you how existing bookings are handled.

10. General

10.1 Changes to these terms. We may update these terms and will change the date at the top. Significant changes will be shown on booking sites before they take effect.

10.2 If a court finds part of these terms invalid, the rest still applies. Nobody else has rights under these terms.

10.3 Law and courts. These terms are governed by Scots law, and you can bring proceedings in the Scottish courts. If you live in England and Wales or Northern Ireland, you can also bring proceedings there.
